Stall Booking Terms and Conditions

The Carnival aims to book a variety of stalls offering a wider range of products, services and entertainment. If there are multiple applications for the same type of stall we may choose not to accept them all. Conversely we cannot guarantee that your stall will be the only type available.

Due to increased demand, and to avoid stalls being reserved and not being taken on the day, we must ask for full payment before your booking will be confirmed. Fees paid are non-refundable in all circumstances including cancellation of the event whether by you or by us, and for whatever reason. This includes cancellation of the entire event, partial cancellation, poor weather, or other causes beyond the control of the Committee.

Once your booking form is received a member of the Committee will be in contact to inform you of the associated booking fee. You must make sure the payment of the booking fee is processed by 2nd June 2017. The Committee will assess all stall booking forms and fees and will decide whether to confirm your booking. No booking will be confirmed until full payment has been made and you have received formal confirmation. The Committee’s decision is final.

Important Information for Stall Holders:
1. Any stall holder that has not completed a booking form and paid their booking fee will not be classed as having a confirmed booking.
2. Stalls with a confirmed booking should arrive on site between 07:00 - 08:00 where they will be allocated a pitch by a member of the Carnival Team. You will not be able to set-up your stall the day before. You should be ready to trade by 10:30.
3. If you decide to turn up on the day without a confirmed booking you will still need to complete a booking form and you will be charged a premium which you must pay before being allowed on the site. Any stall holders that do not have a confirmed booking will have to wait until 08:30 before accessing the site. Please do not turn up any earlier as you will not be able to gain entry. Once you have paid for your pitch a member of the Carnival Team will direct you to your pitch where you should be ready to trade by 10:30.
4. All vehicles MUST be removed from the stall area by 10:00. If you require a vehicle as part of your pitch ensure you highlight this on your booking form.
5. Stall holders will be allocated an area where vehicles can be parked (at no additional cost). All stalls, vehicles and contents are left at the owners own risk and the event team recommends that you do not leave anything unattended. Event organisers will not accept responsibility for damage, accidents, theft or loss.
6. The pitch sizes allocated under each booking are approximately 3m x 3m. There will be no way of increasing this allocation on the day. If you require a larger pitch then please highlight this on your booking form. Failure to inform the Carnival Team at the time of booking of the true size of your pitch will risk you having to pay additional fees or you will be asked to leave the site and no refund of fees will be paid.
7. You are required to provide your own self-catering unit, gazebo, tables and chairs. None will be available on the day. Please note the carnival site is on an open patch of park grass land located within St Mary’s Park, Prestwich.
8. All tents / gazebos are required to be weighted or pegged down for health and safety purposes. If you are unable to do this you will be asked to leave the site and no refund of fees will be paid.
9. No alcohol can be given as prizes or incentives or sold unless via advanced agreement with the Committee. Please give details on your booking form if you intend on using alcohol.
10. Running water is available on site however power is not. If you require power then you must supply your own generator. Please note diesel generators are preferred.
11. Stall holders are asked to be responsible and clear and remove any litter and rubbish on and around your pitch.
12. All stalls and associated equipment must be removed off the site at the end of the day (7pm).

Double Booking

Please note that whilst we endeavour to validate bookings and advise new booking clients on what other stalls are planned, we take no responsibility for booking multiple stalls under different sales people.


All stall holders must have relevant insurance and risk assessments. Any litigation or legal proceedings resulting from activities or products sold will NOT be covered by the Prestwich Carnival’s public liability insurance.

Poor Behaviour

Any stall holder whose presence at the carnival creates a disturbance or bad atmosphere may be asked to leave the site and forfeit any booking fee paid. This may prevent them from returning at future events.
